At Evivia, we try to make the entire process as simple as possible in accordance with our goal of providing a personalised service with a high degree of flexibility and agility throughout the entire project. 

Depending on the nature and complexity of a project, we can simply divide it into three basic steps to create joint value 'Capture - Deliver - Maintain'. 

For more complex tasks, it is advisable to divide the consulting process into several steps: initial consultation and problem definition, data collection and analysis, solution development and presentation, implementation and support, follow-up and conclusion.

1. Access - Ideation -

  • You as a prospective client may initiate contact via telephone or e-mail.
  • Together we conduct a preliminary problem diagnosis to fully understand your needs, objectives, and challenges.
  • This phase is also about establishing a trustful and constructive relationship with you as a prospective.
  • Together, we determine the scope of the project and define clear objectives.
  • We are offering you a contract and you agree to a consultancy assignment.

2. Initiation - Brainstorming - Joint Analysis

  • Relevant data is gathered through a variety of means, including interviews, surveys and research.
  • The process of diagnosing facts, purposes and problems is integral to the formation of a conceptual framework.
  • Conscious joint brainstorming and data analysis serve to identify root cause patterns, trends and possible solutions.
  • We will provide continuous baseline feedback to you as the integral client.

3. Creativity - Planning - Adjustments

  • We create and develop possible target solutions as well as evaluate alternative approaches. 
  • Our plans are tailored to you, so your feedback is essential for fine-tuning them to your individual needs. 
  • We adjust the plan to ensure that it meets your needs and preferences.
  • We will work with you to plan our joint actions and will provide detailed proposals outlining the approach, results and schedule.

4. Execution - Assistance - Fulfilment 

  • When required, we will implement the outlined solution, provide support and put it into practice.
  • Alternatively, we will develop a detailed implementation plan with timelines, resources and responsibilities. 
  • Along the project, we will provide guidance and personalised support during the implementation phase.
  • We will of course monitor progress and adjust, as necessary. We change aspects or abandon them if appropriate.

5. Follow up - Conclusion - Closing

  • We follow-up expectations and ensure the implemented solutions function reliably. 
  • Our offer can include continuous support and to promptly tackle any issues. 
  • On demand we jointly evaluate the overall impact of the project.
  • Finally, we can make recommendations and officially conclude the project.

Evivia - How we contract?

A consultant contract agreement, is a legally binding document between a client and a consultant that sets forth the terms of their professional relationship. It outlines the scope of services, payment structure, project timeline, confidentiality, intellectual property rights, and termination clauses. This contract protects both parties by clarifying expectations, defining responsibilities, and establishing the legal framework for the engagement. A signed contract is important to formalise the consultancy details. 
Evivia is flexible in either working on your contract proposal or offering an own contract for your convenience that of course can be negotiated in more detail if necessary. 

As we know that companies have different requirements, aspirations and objectives, our service offering is tailored to your unique needs. The payment procedure is just as flexible, agreeing on a payment model (like hourly, project-based, etc.), defining payment terms (including invoice dates, due dates and penalties), and selecting a method for payment, usually based on bank transfer to ensure timely and accurate compensation.

The following payment models we propose and which will be defined in a consultancy contract: 

  • Hourly or daily rate: Evivia charges its clients for the actual time spent on a project.
  • Monthly rate: Evivia charges its clients for the number of days spent per month on a project or other assignment.
  • Project-based fee: A fixed price for the entire project, regardless of the time spent. 
  • Results-based fee: Remuneration is linked to the achievement of specific results, e.g. according to a prior agreed profit-sharing arrangement or the delivery of a defined value, e.g. commission based on sales turnover. These options are in combination with the above payment models in form of a hybrid structure.
  • Milestone payments: Payments are linked to the completion of specific phases or milestones of a project. 

All fees and prices in Germany are calculated as net amounts (excluding value-added tax, VAT) and the statutory VAT rate of 19% is added to these net amounts to sum up to the communicated base retainer rate.
For consulting services provided to recipients in other European countries (outside Germany), the reverse charge mechanism applies: in accordance with German and European VAT law, and pursuant to § 13b UStG, the VAT liability is shifted to the recipient of the service.
